Mason Architects, Inc. is seeking a Proposal Coordinator/Administrative Assistant

Mason Architects, Inc. is an award-winning architecture and historical consulting firm currently seeking a Proposal Coordinator/Administrative Assistant. Tasks will mainly be focused on the development of marketing proposals and management of annual marketing solicitations, but may also include other administrative duties.

General Duties:

  • Produce and ensure the delivery of high quality, on-time, and effective proposals, qualification packages, and presentations with input from project team members. Drive the process to ensure the most efficient procedures and protocols are in place. Write portions of the proposals as appropriate
  • Spear-head proposal development, coordinate with the project leaders, outline requirements, organize and distribute information, and track proposal deadlines
  • Work with project team leaders to create and maintain project information sheets, staff resumes, and other qualifications materials. Maintain all marketing related files, including current versions of proposals, images, resumes, project data sheets, etc.


Graphics/Formatting-related Duties:

  • Provide basic graphic design and desktop publishing (such as Adobe Creative Suite InDesign, and/or Photoshop, or other layout experience)
  • Assist project leaders with the preparation of deliverables to maintain Brand integrity and quality control.

Other administrative and marketing support tasks likely will include:

  • Manage and maintain updates for the company website and social media accounts.
  • Develop social media content development
  • Champion the firm’s presence via industry award submissions and press releases
  • Participate in internal business development and assist with special projects as assigned


Successful candidates must be able to multi-task, be organized with a can-do attitude to support project leaders, with an ability to:

  • Work well with others, showing flexibility and good listening skills.
  • Translate information and write logically and concisely.
  • Coordinate and manage teams during qualifications/proposal development.
  • Manage competing schedule demands.
  • Proofread and edit technical and non-technical writing for accuracy and consistency


You MUST have:

  • Bachelor’s degree, preferably in English, Marketing, Journalism, Business, Graphic Design, Communications, or an Architectural-related field
  • 3+ years of relevant experience in proposal and presentation coordination


Other Experience preferred but not mandatory:

  • Prior experience preparing proposals and Standard Form (SF) 330.
  • Experience in the architecture/engineering/planning/construction industries
  • Experience with managing marketing files, including with the use of software tools (Ajera or other)
